Public Records

The SUSD Governing Board recognizes the right of the public to information concerning its actions, its policies, and the details of its educational and business operations. Public records of the district will be open for inspection by any person as provided by law.
• Submit the form in person or online.
• Once the documents are prepared the Office of Public Information will contact you.
• The District has up to ten days to process the request.
• Please arrange a date and time with the public Information Office to pick up the documents.
• There is a $.35 (thirty-five cents) per page charge for all documents. The District can accept cash or cashier’s check.

Issues / Crisis Management Communications

During a crisis, schools face unusual demands which is why effective management of information to the community is vital. Therefore, at the time of a crisis it is very difficult for a school to organize an effective crisis intervention response and still maintain the required long-range perspective. The Office of Public Information works hand in hand with the Assistant Superintendent of Operations during a school incident or emergency to provide open communication with the community.

ParentLink is a phone notification system that enables the district to personally communicate with parents and employees about emergency situations, school events and important issues. It allows us to send personalized voice messages to your home, work or cell phones within minutes. Beginning 2013-14, Sunnyside implemented a text message alert service using ParentLink. There is no fee for this service, but regular text messaging fees through cellular providers may apply.

Social Media Guidelines for Adults 

Students want to take the technology they use in their daily lives and integrate it with how they learn. More and more, they tell us that they want, and need, their learning experiences in school to reflect this. As students learn to use social media, it is important to empower them to build strong online safety skills and to establish an appropriate and positive digital footprint. One of the best ways to do this is to model the responsible and professional use of social media. 

For the purposes of these guidelines, social media refers to online technology tools that enable people and organizations to communicate and share information and resources over the Internet. Users provide information, but can also interact with each other using social media. Examples include, but are not limited to blogs, Facebook, Flickr, Instagram, LinkedIn, Pinterest, Twitter and YouTube. Using this definition, the Sunnyside Unified School District’s email environment can also be viewed as social media. Social media offer opportunities to interact, build relationships and enhance interpersonal and professional connections. 

As employees of the Sunnyside Unified School District (hereafter “SUSD”) community, we must be aware of the ways social media content may affect our personal and professional reputation and credibility and the way others perceive SUSD. The following guidelines have been established to protect your interests as well as the District’s interests when using social media for either professional or personal purposes. 

1. PROTECT YOURSELF: 

a. Use appropriate privacy settings to reduce the chances that your personal information and the content you post are accessible to unintended audiences. 

b. Consider the safety risks of tagging your location. 

c. Remember that the Internet archives almost everything; therefore, even deleted postings can be searched and may be required to be saved and retrieved under certain circumstances. 

d. Review and comply with the user agreements of the social media you use, with particular attention to directives that prohibit harassment, threats of violence, discriminatory statements, and personal slurs or attacks. 

e. Regularly monitor social media sites to ensure that others have not included you in images depicting unprofessional conduct. If you discover such images, make reasonable efforts to remove them. Typing your name into a search engine ("Googling yourself") is an easy way to see what others can see about you. 

f. Consider the impression that may be created when posting content frequently during the work day. 

 

2. PROTECT THE PRIVACY OF OTHERS: 

a. Use sound judgment when using social media to forge connections with District employees and members of the greater SUSD community, including parents, businesses, students and alumni. It is generally best not to connect with students on sites such as Facebook until they become adults (18 years or older). Likewise, consider the potential impact of having access to personal information about employees through certain social media venues. 

b. If you wish to communicate professional content through Facebook, consider creating a professional page or a fan page rather than asking individuals to link to your personal account. 

c. Ensure that student privacy rights are protected as required by the Family Educational Rights and Privacy Act (FEPRA). Do not describe student behavior, report grades, or provide personally identifiable information. 

d. It is never appropriate to use social media to engage in personal communications with individuals with whom you are currently involved in a teacher-student relationship. 

e. In order to protect the privacy rights of students and employees as required by state or federal privacy laws, including the Health Insurance Portability and Accountability Act and its amendments, do not discuss or describe health related subjects or share content that might be personally identifiable. 

f. Protect confidential or personal information you may have acquired as part of your work as an SUSD employee and abide by District policies regarding confidentiality of personnel information. 

g. Request permission before posting photos of students, families, work friends or colleagues. 

 

3. PROTECT THE DISTRICT’S ASSETS AND REPUTATION: 

a. While you have rights of free expression as a private citizen, remember that others view you as a member of the Sunnyside District. Before posting social media content, consider the impact it may have on the District's reputation. 

b. When your online posting suggests that you are affiliated with the District, include a statement that the content of your posting reflects only your personal views and not those of the District, its schools or Departments. 

c. Remember that state law prohibits public school employees from using their District affiliation to influence electoral and legislative outcomes. If you use social media to express a political position, make sure that you do so as a private citizen rather than as a District representative. Failure to make this distinction may violate District policy and state law and trigger a host of consequences for the District if the comments are deemed to be lobbying under federal and state statutes. 

d. Use a personal email address to register on social networks, blogs or other online tools utilized for personal use. 

e. Respect intellectual property rights, including copyrights, trademarks, trade names and trade secrets, of others and of the District. Always give other people proper credit for their work, and make sure you have the right to use something with attribution before you publish. 

f. Adhere to all District policies regarding the use of computers and other technology. 

g. Remember that use of District or school logos requires written approval by the District's Public Information Office. 

h. Keep in mind that established workplace channels are available (and often superior to social media outlets) for resolving work-related complaints.

In education, the end of the school year marks graduation and the start of retirement for administrators, teachers and support staff. In May, employees that retire with the Arizona State Retirement System are recognized for their dedication and hard work by the Superintendent and Governing Board. Retirees are presented with an award for their years of service.
